Choose intake software by the complete journey from an inquiry to an approved, opened matter. MyCase, Clio Grow and PracticePanther offer different routes through that journey; Lawmatics is a candidate when a separate intake team needs more coordinated automation. A form alone is not the whole process.

Who this is for

Firms replacing email attachments and disconnected appointment, engagement and matter-opening steps. This guide focuses on capture and onboarding; the CRM guide addresses ongoing pipeline ownership and follow-up. Use both when the problems overlap.

“Best” describes a researched shortlist for solo and small U.S. law firms, primarily 1–10 attorneys. This is not an exhaustive market ranking. FirmTechGuide’s workflow judgments are editorial analysis of vendor documentation, not a report of hands-on testing.

Start with the last step

Define what “intake complete” means for your office. A submitted questionnaire, a booked consultation and an executed engagement are different events. The software should not turn one into another without the firm’s intended review. Identify the person who authorizes opening a matter and the information that must reach the matter team at that point.

Then work backward. Decide which information is appropriate at the first contact, which belongs after an initial review, and which belongs after engagement. A single long form is not automatically better than a staged process. It can create more incomplete responses and collect information before your team is prepared to handle it. These are process-design questions, not a promise about any vendor’s legal compliance.

Which configuration deserves a demonstration?

Evaluate six transitions, including the awkward ones

  • Submission to review: show who sees a new fictional inquiry and how it is distinguished from a current client’s message.
  • Review to appointment: change the proposed consultation. Check reminders, the responsible person and any duplicate calendar entry.
  • Appointment to engagement: use a fictional unsigned agreement and identify what remains pending. Do not assume an appointment establishes engagement.
  • Engagement to matter: compare the destination record with the approved source information. Test two people with a shared address but separate roles.
  • Incomplete to resumed: pause the process, then return. Determine whether the prospect starts again or completes a clearly identified outstanding step.
  • Declined or withdrawn: stop the process and inspect communications, access and retention handling. The firm must define the appropriate procedure.

A demonstration that only follows the happy path leaves the expensive integration questions unanswered. Ask the person who will administer intake to change a fact after submission. That single exercise often makes the ownership boundary much clearer than another page of feature checkmarks.

Form flexibility versus staff work

MyCase documents conditional lead forms; PracticePanther documents custom fields and multiple form versions. Conditional questions can be useful when the office needs different information for different matters. They also require maintenance: someone must decide which branch is correct and review it when the process changes.

A solo general practitioner with occasional inquiries may prefer one short initial process and a personal follow-up. A family-law team might need separate stages for a first contact and later document collection. An estate-planning team may need repeatable information across related documents. Select the form behavior for that consequence, not for the number of available field types.

Pricing: verified inputs, not a complete firm quote

Official pricing and tier sources for the cited vendors were rechecked October 4, 2026. Other article-specific product details retain their separately shown source dates. USD subscription inputs below exclude taxes, payment processing, migration, implementation and third-party charges. Count all paid users, including staff. An annual monthly equivalent requires annual billing; it is not a monthly contract.

Clio / LawmaticsObtain configuration quotes; do not infer a complete intake price from a practice-management starting rate.
PracticePantherBusiness includes intake forms and native signing. Annual and monthly cadence rechecked October 4, 2026; confirm paid users and the complete quote.

Unknown charges are not zero. Get the selected tier, seat count, add-ons, allowances, renewal and cancellation terms in one written quote. A lower entry price does not establish that the required workflow is covered.

Signing, payments and add-ons

Electronic signing can be part of an engagement workflow without covering every document the firm handles. PracticePanther documents signature status tracking; MyCase describes sending generated documents for signature. Confirm required recipients, corrections, expiration, evidence export and allowances for your selected configuration. The firm must separately establish whether electronic execution is appropriate for the document and jurisdiction.

A payment link is another step to inspect, not proof that the whole financial process is correct. Establish what record is created, which account is used, who checks the transaction and what happens after a refund. Subscription prices do not include every processing charge. Do not add a second payment or signing subscription until an actual gap is shown.

What you can skip—and what you cannot

Skip a separate form builder if the included forms cover the required fields and handoff. Skip a second scheduler when the current one works with the intended team. Skip advanced routing when one person owns all intake. You still need a named reviewer, a way to stop follow-up and a reliable record of the current status.

Do not migrate active inquiries all at once without a reconciliation plan. Start the proposed workflow with fictional records; map existing statuses; identify the cases that need individual review. A temporary controlled migration overlap is different from paying indefinitely for two live intake queues.

A narrower alternative when the gap is the questionnaire

Alternative: Jotform may be worth investigating when your existing intake system cannot express a needed questionnaire or conditional branch. Its documentation describes conditional logic that changes form behavior based on responses. This can be relevant when different inquiry types need different questions while the firm keeps its current legal practice-management system.

Start with forms already included in your current software. A separate form builder adds another system in which to maintain questions and manage submitted information. It does not by itself replace conflict review, a CRM/intake pipeline, engagement approval or matter opening. Confirm selected-plan limits, access controls, retention settings and the exact handoff to your existing system. If the included forms already work, skip this additional subscription.

Jotform’s published MyCase connection describes a Zapier route, not a native integration. Do not assume that connector access is included or that it handles the full legal-intake workflow.

Alternatives and FirmTechGuide verdict

Improve a functioning current process before replacing it. Consider a dedicated intake layer only after documenting where the bundle fails. If specialized questionnaires are the bottleneck, research that narrower category instead of assuming a broad CRM upgrade supplies the required drafting or data model. The right intake setup is the one your team can follow from first contact through exceptions to an explicitly approved handoff.

Research limitations

Official-source desk research, not hands-on product testing. Product facts reflect vendor documentation; fit, priorities and trade-offs are FirmTechGuide analysis. No numerical vendor ratings, independent performance measurements, guaranteed savings, security superiority or legal-compliance findings are claimed.

A product page does not establish the purchased tier’s exact behavior, implementation effort or third-party terms. Demonstrate required workflows using fictional data and verify the written quote. Professional obligations, trust records and document-execution requirements depend on the firm’s actual circumstances; software alone does not satisfy them.
