If your practice-management system already handles the firm’s billing model, evaluate that workflow before buying separate billing software. Compare time capture, bill review, payments and month-end records together. Full accounting and specialized billing requirements can change the appropriate tier.

Who this is for
Solo and small U.S. firms choosing a billing system, reconsidering bookkeeping tools or finding that a seemingly inexpensive plan misses a required financial function. This shortlist covers the billing paths inside MyCase, Clio and PracticePanther, not every specialist billing product.
“Best” describes a researched shortlist for solo and small U.S. law firms, primarily 1–10 attorneys. This is not an exhaustive market ranking. FirmTechGuide’s workflow judgments are editorial analysis of vendor documentation, not a report of hands-on testing.
Separate four decisions
| Layer | What to evaluate | What it does not establish |
|---|---|---|
| Time and expense capture | Matter assignment, edits, review and supporting records | A complete invoice or reliable collection. |
| Billing | Rates, fee model, allocations, bill review and export | Payment settlement or a complete ledger. |
| Payments and trust records | Destination, transaction history, corrections and reconciliation inputs | Compliance with every applicable trust-accounting requirement. |
| Firm accounting | Ledger, bank reconciliation, financial reports and accountant workflow | That the existing books can be replaced without migration and validation. |
A product can serve several layers, but each still needs review. Decide where the authoritative books live. If your accountant keeps the ledger in an existing system, a new accounting bundle may duplicate it unless you deliberately plan a replacement.
A researched configuration shortlist
MyCase Basic includes time entry, invoicing and trust accounting; its full Accounting product is an add-on. Clio’s current plans include accounting. PracticePanther lists standard PantherAccounting on Solo, Essential and Business, with PantherAccounting Plus in Business Pro. Those boundaries are more useful than calling every option “all in one.”
The accounting pages describe different reconciliation and financial-record functions. MyCase describes three-way reconciliation and transaction matching; Clio describes trust/operating reconciliation and ledger reports; PracticePanther describes a general ledger and financial statements. These are vendor-documented functions, not independent findings that the products satisfy your professional obligations.
Let the billing model drive the demonstration
- Hourly: enter fictional time from two people, revise one rate, review the draft and correct a posted item. Inspect the explanation and record trail.
- Flat fee: separate the amount agreed from work performed, payment status and the firm’s required accounting treatment. Do not assume a flat-fee invoice settles those questions.
- Contingency: use a fictional settlement and costs. Inspect fee calculation, deductions, allocation and the final records; a generic contingency option is not proof of an end-to-end settlement process.
- Mixed: run two different matter types in the same system. Check whether staff can identify the correct rate and approval path without private instructions outside the file.
- Special billing: if split payers or a required LEDES format is mandatory, test the exact output and tier before purchase.
Do this with the attorney approving bills and the person maintaining the books. Their questions differ. A clean client-facing invoice can coexist with a difficult reconciliation, and a sophisticated ledger does not make time entry workable for the team.
Pricing: verified inputs, not a complete firm quote
Official pricing and tier sources for the cited vendors were rechecked October 4, 2026. Other article-specific product details retain their separately shown source dates. USD subscription inputs below exclude taxes, payment processing, migration, implementation and third-party charges. Count all paid users, including staff. An annual monthly equivalent requires annual billing; it is not a monthly contract.
| Configuration | Price or qualification |
|---|---|
| MyCase Basic | $50 per user/month billed annually; $60 on monthly billing.Recheck current vendor terms before budgeting. |
| MyCase Accounting add-on | $39/month per accounting user, in addition to any base plan; not every attorney needs access. Seat basis rechecked October 4, 2026.Recheck current vendor terms before budgeting. |
| Clio Starter / higher tiers | Starter starts at $49 per user/month with annual billing or $59 with monthly billing. Higher tiers require quotes.Recheck current vendor terms before budgeting. |
| PracticePanther Business Pro | From $114 per user/month with annual billing, according to its accounting page.Recheck current vendor terms before budgeting. |
Unknown charges are not zero. Get the selected tier, seat count, add-ons, allowances, renewal and cancellation terms in one written quote. A lower entry price does not establish that the required workflow is covered.
Do not mistake a listed feature for a finished connection
If you keep an external ledger, write down which system owns clients, invoices, payments and adjustments. The vendors publish integration directories; a listing does not establish the exact fields, direction, timing or error handling. Require a demonstration of a corrected transaction, not just the first successful transfer.
Ask about failed payments, chargebacks, refunds and unreconciled items. Payment-processing terms may differ from the software subscription. Do not derive a payment-cost budget from a seat price, and do not assume “payments included” means processing is free.
Two limitations that deserve written confirmation
MyCase’s plan page lists split billing on Advanced, while its Accounting page marks split billing as coming soon. These may refer to different scopes; the available evidence does not establish that the accounting add-on handles the same split-billing workflow. Confirm the exact requirement rather than treating the two statements as interchangeable.
PracticePanther’s annual and monthly pricing selector states were rechecked October 4, 2026. Those per-user rates do not establish an all-in quote for your team. Clio’s higher-tier rates remain quote-based. These limits prevent a defensible universal “cheapest” ranking.
What to skip and what to keep
Skip a standalone time tracker if the included capture process works for the people doing the work. Skip a second invoice system for the same matters. Skip a new ledger when the current ledger and supported handoff meet the firm’s needs. Keep necessary historical records and validate opening balances before any retirement of an old system.
Lawmatics Time & Billing is listed as an add-on. It is not a reason to add a CRM when billing is the only problem, and it is not presumed to replace a full practice-management or accounting workflow.
Alternatives and FirmTechGuide verdict
A specialist billing system may deserve research if mandatory payer rules, formats or reporting cannot be demonstrated by the existing core. Keep that as a specific research gap; do not add an unverified vendor recommendation. For the researched set, choose one operational billing path and one authoritative ledger, with a confirmed handoff between them where necessary. The right financial configuration is the one that survives correction and month-end review.
Research limitations
Official-source desk research, not hands-on product testing. Product facts reflect vendor documentation; fit, priorities and trade-offs are FirmTechGuide analysis. No numerical vendor ratings, independent performance measurements, guaranteed savings, security superiority or legal-compliance findings are claimed.
A product page does not establish the purchased tier’s exact behavior, implementation effort or third-party terms. Demonstrate required workflows using fictional data and verify the written quote. Professional obligations, trust records and document-execution requirements depend on the firm’s actual circumstances; software alone does not satisfy them.
