Evaluate MyCase when you want intake and routine document work bundled into the practice-management workflow. Evaluate Clio when a specific integration, permission structure or separately configured intake layer is central to the firm. Compare complete configurations, not an entry price against a fuller bundle.

Who this is for

Solo and 2–10 attorney U.S. firms deciding how to connect inquiry handling, active matters, documents and financial work. This comparison is particularly useful when your shortlist already includes both vendors but the proposed quotes cover different things. It is a limited comparison based on official sources, not an exhaustive market ranking or a usability test.

Intake: a named pipeline owner matters more than a CRM label

MyCase documents a prospect pipeline with tasks, reminders and appointments. Clio Grow documents intake forms, scheduling and automated intake follow-up. Either approach needs an explicit point at which a prospect becomes an engaged client and responsibility moves to the matter team. Ask what happens when someone books a consultation but does not complete the engagement.

For a two-person office where the same assistant handles inquiries and opened matters, a consolidated workflow may reduce the number of handoffs to administer. That is a reason to evaluate MyCase’s bundle, not proof of faster work. A firm with a separate intake coordinator may prefer to evaluate Grow as its own process. Confirm what moves into practice management and how duplicates or corrections are handled.

Do not add an independent CRM before showing why the selected bundle cannot handle the queue. Conversely, do not select an entry plan and assume that a contact list provides intake automation.

Integrations: choose a necessary connection, then verify it

Both vendors publish integration directories. Clio Core and higher list general app integrations; Starter has narrower access. MyCase Pro lists integrations and Advanced adds Open API. An API is not an installed connection: it can create implementation and maintenance work that a small firm has no reason to take on.

An integration-led firm should write down the specific records it needs to move: contacts, invoices, payments, document versions or calendar entries. Ask which direction they move, how corrections propagate and where failures are visible. “Integrates with our accounting tool” is insufficient if an invoice edit must still be reconciled manually in two places.

Documents, communication and automation: follow one engagement

Use a fictional engagement letter, a changed client address and an unsigned reminder as one evaluation. Check who prepares the document, what is reused, where the signed copy goes and whether the next task is created. Storage, document generation, signing and process automation are separate requirements even when they share a product page.

MyCase describes reusable workflows that create tasks, events and documents. Its advanced document tooling is a distinct consideration for a firm whose templates no longer cover the drafting process. Clio distinguishes practice-management workflow depth from Grow’s intake automations. Ask the demonstrator to name the module and tier behind every step rather than showing an unrestricted account.

For a family-law practice, include the communications and access permissions of an assistant. For an estate-planning practice, include a change that affects more than one document. Do not buy advanced assembly merely to sign occasional engagement letters, and do not assume an electronic-signature feature validates every type of legal document.

Billing and accounting: decide where the books live

Clio’s current documentation includes accounting with its plans. MyCase separates its base financial functions from the Accounting add-on. Both vendors describe reconciliation capabilities. None of those statements establishes that your accountant can complete the required month-end process without another tool or a change in working method.

Review a fictional invoice, an expense correction, a trust transfer and the resulting reports with whoever handles the books. For contingency work, also ask to see the calculation and disbursement process. Keep an existing ledger if it meets the need and the connection is acceptable; do not maintain two competing versions of the same books merely because a second accounting product is available.

Pricing and the commitment behind it

Priority vendor pricing and tier sources rechecked for the facts below. All dollar amounts below are USD per user per month unless stated otherwise. An annual rate is a monthly equivalent with annual billing, not a monthly contract.

These are subscription inputs, not complete firm quotes. Count attorneys and staff who need paid access, then add any implementation, migration, payment-processing, connector and third-party charges. Confirm minimum seats, renewal terms and cancellation conditions. Unknown costs are not zero.

Ask each vendor to price the same workflow and seat count. Comparing an entry plan without required intake or document tools against a fuller bundle produces a misleading value comparison.

Choose Clio if…

  • A specific supported connection or permission structure is central to your workflow, and the quoted tier provides it.
  • You can assign responsibility for the connections and for a separately scoped intake process, if Grow is needed.
  • A complete quote and a realistic workflow demonstration justify the configuration; the starting price is not the reason for the decision.

Choose MyCase if…

  • You want to evaluate a bundled prospect-to-matter process and are willing to adopt its task and document conventions.
  • The published base rates help you assess an exact user count, and the selected tier covers the required intake and document steps.
  • Your existing accounting or document tools can be retained or replaced deliberately, without overlapping subscriptions.

Neither may be ideal if…

A mandatory document, settlement, permission or export requirement cannot be demonstrated at an acceptable total cost. A single practitioner with very little active work may also get more value from improving the existing process before migration. A 6–10 attorney firm should not buy a larger bundle simply to compensate for unclear task ownership.

AI, alternatives and the FirmTechGuide verdict

MyCase’s plan page lists Writing and Document Assistants on Pro, with Case and Discovery Assistants on Advanced. Inclusion does not establish accuracy or suitability for client material.

Do not use an AI label as a tie-breaker. Current vendor pages promote AI-assisted work, but the relevant question is whether the exact feature, allowance, data handling and human-review process suit the firm. We have not independently tested AI accuracy or performance; budget for the workflow you can verify without relying on promised outcomes.

PracticePanther is a relevant alternative when the desired workflow centers on matters, forms, signatures and financial administration. Compare it using the same fictional engagement. A dedicated intake layer such as Lawmatics deserves attention only after an unmet routing or follow-up requirement is documented; it adds cost and another handoff.

Our verdict: investigate MyCase’s consolidated route and Clio’s configuration route on equal terms. The preferable choice is the one that completes the firm’s work with an acceptable quoted cost and a process the team can own.

Research limitations

This is official-source desk research, not hands-on product testing. Capabilities are vendor-documented; workflow consequences and best-fit judgments are FirmTechGuide analysis. We have not independently established ease of use, implementation time, support quality, performance, savings, security superiority or legal compliance. No numerical vendor scores are assigned.

A listed feature is not proof that it handles your exact matter, document or accounting requirement. Use fictional data for evaluation and check the terms before introducing real information. Software alone does not establish compliance with professional, privacy, trust-accounting or document-execution requirements.
